Built around your care team
Purpose-built for UK domiciliary care
Care plans, visits and the people behind them, connected.
eMAR built in
Medication administration lives in the client record, not a separate system.
Companion carer app
Designed for care on the move. Currently in development.
UK-hosted core database
The core database is hosted on AWS in London.
The agency hub
One connected view of your agency
From the first care plan to the last visit of the day, keep the details together and your team in the picture.
Care built around each person
A care plan built across thirteen sections — who someone is, what they want, and how they are supported — with risk assessments, body maps and a version history a reviewer can read. Medication sits in the same record, on an electronic MAR chart.
- Thirteen-section care plans, versioned and exportable to PDF
- Falls, Waterlow pressure-area and MUST nutrition assessments
- eMAR with PRN outcomes and controlled-drug witnessing
- Staff records, availability, leave and MODS referrals alongside

A clearer view of every visit
Plan the week by carer or by client and adjust it by dragging. Recurring patterns cover the calls that repeat. Once the day starts, live tracking shows what is running, what is late and what nobody has picked up.
- Drag-and-drop weekly rota, grouped by carer or by client
- Recurring visit patterns you can amend or end
- Working Time Regulations checks as you assign
- Live tracking of active, late, missed and unallocated calls

Keep your evidence organised
One screen for what an inspector will ask about: open incidents, training and document expiry, audits due, complaints, breaches and overdue risk reviews. Babiha records the rating CQC has published for you and keeps your own evidence beside it — it never invents a rating of its own.
- Single Assessment Framework evidence, key question by key question
- Provider Information Return, generated from your own records
- Statutory CQC notifications under Regulation 18
- Incidents, audits, spot checks, supervisions and training
- Complaints, compliments, data breaches and the risk register
- Policies with expiry tracking, in the same system

From the delivered visit to the invoice
Visits become timesheets and invoices without being retyped. Funding sources, billing rates and pay rates are held per client and per carer, and expenses and mileage come through the same books.
- Invoices raised from delivered visits
- Funding sources, billing rates and pay rates
- Timesheets, expenses and mileage

Understand the day behind the data
Visit Performance measures the delivered round against the planned one — punctuality, short visits and lateness bands, computed from real check-in and check-out times. An audit log helps authorised staff review recorded activity and follow changes over time.
- Visit Performance, from real check-in and check-out times
- PRN outcome reporting
- CSV and Excel exports for supported reports, subject to your role
- A searchable audit trail for recorded activity

Compliance & security
Built for the way UK care is regulated
Bring care records, reviews and supporting evidence together as part of everyday work.
- CQC evidence, gathered as you work
- Self-assessment against the five key questions and their quality statements, the Provider Information Return, statutory notifications under Regulation 18, and incidents, audits, spot checks, supervisions and training kept together.
- Core database hosted in London
- Our core database is hosted on AWS in London, in the UK. Our privacy notice explains the other service providers involved and the safeguards for international transfers.
- Data protection responsibilities, explained
- Our privacy notice, Data Processing Agreement and provider list explain how care data is handled and the responsibilities shared with your agency.
- A clear trail of recorded activity
- Authorised staff can review recorded activity, see who made changes and trace them over time. Audit records help your agency investigate and evidence its work.
- Separation between agency records
- Database access policies separate agency records. Access controls and encryption help protect sensitive information, alongside your own staff permissions and security practices.
- Access you decide, role by role
- Role-based permissions let you manage who can see and change information. Two-factor authentication adds a further layer of account protection.
Compliance remains your agency's responsibility. Babiha gives you the tools and the evidence trail; it does not certify anyone, and neither does any software.

What counts as a client? Anyone you are actively caring for. Clients in hospital or on respite still count, because their records stay live in Babiha. People who have been discharged, or who have passed away, are never billed for. Record retention is governed by our agreement and your agency’s legal obligations.
Changes take effect on your next bill. We count your clients once a night. Take on a new client mid-month and you will never see a surprise part-month charge.
FAQ
Questions we get asked
Straight answers on compliance, your data, and what is and is not built yet.
Is Babiha built for CQC compliance?
Babiha includes tools for organising evidence around CQC’s five key questions, preparing the Provider Information Return, and recording incidents and statutory notifications, alongside audits, training and safeguarding records. These help agencies in England prepare and review their evidence. Your agency remains responsible for checking current CQC guidance, making required submissions and meeting its regulatory duties; the software does not confer approval or a rating.
Where is our data stored?
The primary database and file storage are hosted in the UK, in London. Other providers and their overseas processing are described in our privacy notice and sub-processor list. Agency access policies and encryption protect sensitive fields; UK database hosting is not a promise that all processing stays in the UK.
Does the carer app work offline?
The carer app is in development and is not yet available from app stores. Its offline features are designed for supported visit tasks using data already available on the device, with pending changes syncing when a connection returns. Feature availability depends on the released app version.
What do families actually see?
The family portal supports visits, care plans, medications, wellbeing, shared photos and messaging. What a relative can access depends on their authorised relationship, the agency’s sharing settings and the client’s consent where required.
Can we get our data back out?
The platform includes exports for supported records and reports, including spreadsheet and PDF formats where available. For a wider data return or account closure, contact support; the Data Processing Agreement explains your agency’s return and deletion rights.
Is it really free to start?
Yes. You get 30 days free with no credit card — create an account and use the whole platform. Nothing is charged automatically when the trial ends; you choose whether to add a payment method.
How much does Babiha cost?
£8 per billable client, per month, with an £80 monthly minimum covering your first 10 clients. The plan includes the web platform and family portal, with unlimited carers and office staff. The companion carer app is planned within the same subscription and is currently in development. No VAT is currently charged.
Which clients am I charged for?
Clients marked active, in hospital or on respite are billable. Pending, inactive, discharged and deceased clients are excluded from the count. Record retention follows your agency’s instructions and applicable requirements. Client counts are checked daily and changes apply to the next monthly invoice, without part-month charges.
What happens if I stop paying?
After notice and the 14-day grace period, an unresolved payment or expired trial moves the account to read-only. Your team can view and use available exports, but cannot add or amend care records until billing is restored. Non-payment does not itself delete care records; retention and account closure follow the Data Processing Agreement.
Is the carer app on the App Store?
Not yet. The companion carer app is in development and testing, and is coming soon to iOS and Android. The web platform and family portal are available to try today.
